I am often tasked with revising terms and conditions (TCs)- specifically to merge existing TCs with newly created TCs to include expanded services. This used to be a manual grind taking ages, but with AI -if used correctly- no more.
I follow these simple steps and save 50% or more of my time.
➡️ Start with a solid foundation:
Begin by reviewing your existing TCs and those of your competitors. While getting inspired is great, remember to steer clear of copyright issues by not copying directly. A strong baseline helps ensure you’re covering all necessary bases. Have a baseline you’re satisfied with? Ok, let’s move on.
➡️ Identify key points for new services:
Let’s say your company is expanding into services like installation or maintenance. In bullet-point style, write down any subject that you can think of that should be covered under in the TCs. For installation, this might include expected response times, access conditions for technicians, and liability limitations. For maintenance, this can, for example, include technician qualifications, downtime parameters, and a distinction between preventative and corrective maintenance. You can write down specifics, but you can also keep it general and leave the job to the AI.
➡️ Harness the Power of AI:
AI can be a game-changer in drafting comprehensive TCs. Tools like Claude AI, ChatGPT, or Grok AI can assist in refining your documents. Simply upload your baseline TCs and use a creative prompt to guide the AI in crafting a new set of terms. A prompt I have used is:
“You’re a professional lawyer specialized in contract drafting. Create a comprehensive set of terms and conditions organized into three chapters:
(A) General terms and conditions applying to all sales and services (including installation and maintenance)
(B) Terms applying only to installation services
(C) Terms applying only to maintenance services
Base your draft on:
1. The baseline terms and conditions I’ve attached
2. The following additional points that must be incorporated: [LIST SPECIFIC POINTS]
Please maintain professional legal language while ensuring readability. Use consistent section numbering and clear headers. The final document should be comprehensive yet concise.”
Then let the magic happen.
➡️ Thoroughly Review and Refine:
Do you like the result? Remember, while AI tools are incredibly helpful, they’re not infallible. It’s essential to carefully review the AI-generated draft to ensure all relevant points are included and the language is both accurate and appropriate.
By following these steps, you can create TCs that are not only comprehensive but also clearly reflect your business’s unique needs and offerings. Start protecting your business while saving on time.
